Exhibitors FAQs

  • 10 x 10 standard booth - $1,650.00

    10 x 10 corner booth and premier booths - $1,750.00

    Additional Representative Badge - $250.00

  • Exhibitor registration is determined by the Veterinary Dental Forum. Decision is based on products/services, and sponsorship, and must relate to the veterinary dental industry. VDF retains the right to approve or deny exhibitors and determine the booth space allotted.

  • Exhibit Booth Furnishing: Set with 10’ back x 3’ side drape. One 6’ x 30” skirted table, two chairs, one wastebasket, and an identification sign.
    The exhibit hall is carpeted.

    Exhibitor Breaks and Lunches: Total of two (2) complimentary lunches and breaks each day (Thursday - Saturday).

    Exhibitor Badges: Total of two (2) allotted exhibitor badges per booth (additional badges $250 each).

    Company Description: Listing in the on-site program guide. Linked in email campaigns to attendees.

    Company Information: Listed on the website, banners, social media, printed materials.

  • Exhibitor registration for new and past exhibitors that did not exhibit in 2023 will open on Apri 1, 2024.

    Vendors that exhibited in 2023, a two-week registration window will be available in February 2024.

  • Exhibiting Hours (TBD)

    Past exhibit hours have been:
    Wednesday - 6pm-8pm for opening reception
    Thursday - 9:30am-6pm
    Friday - 9:30am-6pm
    Saturday - 9:30am-2pm

  • Exhibitor Move-In:
    Wednesday, September 25th, 2024, 8:00am - 4:00pm.

    Exhibitor Move-Out:
    Saturday, September 28th, 2024, 2:00pm - 8:00pm.

  • The hotel information with link to make a reservation within the room block will be available February 2024.

  • All cancellations must be received in writing via mail, fax or e-mail.

    Requests received prior to June 15th will receive a refund minus a 25% administrative charge.

    Requests received June 16th - July 15th will receive a 50% refund.

    Refunds will not be granted on or after July 16th.

    In the event of cancellation, VDF assumes no responsibility for having included the name of the canceled exhibitor in conference materials.

  • The total contracted amount for booth space is required with the submission of the Contract for Exhibits. Contracts received without the required payment are not considered binding and space is not guaranteed.

    No company will be allowed to exhibit unless the exhibit fee is paid in full.

    Sponsorship commitments must be paid in full by July 1, 2024. Non-payment of the fee will result in the immediate release of booth space (no exceptions).

    No refunds will be given after July 16, 2024.
